Service History Search

The web-based Service History Search brings a dealership’s workshop and service history together in one easy-to-use view. The service is designed specifically for service advisors, workshop managers, and vehicle sales staff who need quick access to a comprehensive overview of a vehicle’s previous maintenance, repairs, and work performed.

The service speeds up information retrieval and reduces the need to search across multiple systems or individual work orders.

Complete Service History in One Place

The service provides a clear, consolidated view of a vehicle’s maintenance and repair events. Users can review individual service events as well as the vehicle’s complete service history.

The quick search function allows information to be retrieved using, for example:

  • Registration number
  • Work order number
  • Invoice number

The powerful content search also enables users to search the service history by:

  • Fault codes
  • Spare part and product numbers
  • Labour codes
  • Service and repair information

This makes it easy to quickly determine, for example, whether a specific fault has occurred in the vehicle before, when a particular part was replaced, or when a specific maintenance or repair operation was last performed.

 

Data Sources

The service can be implemented using data from any DMS system, meaning the solution is not tied to a specific DMS platform or database technology.

If a dealership or dealer group uses multiple DMS systems or databases, the service history stored across these systems can be consolidated centrally into a single service.

This provides users with one unified view of the entire organisation’s service history, regardless of the system or dealership location where the information was originally created.

 

Quick Access Directly from AutoMaster DMS

The service can be opened directly from the AutoMaster DMS system.

When the service is launched from a work order, it automatically identifies the vehicle associated with that work order and immediately displays all previous service events for the vehicle.

There is no need for the user to perform a separate search or re-enter the vehicle’s registration number. The complete service history is immediately available during the customer service process.

The service can also be accessed independently, meaning dealership employees can use it even if they do not have access to the DMS system.

Printing and Sharing Service Events

An individual service event can easily be:

  • Printed on paper
  • Saved as a PDF file
  • Shared with the customer or internally within the organisation when needed

The clear print view presents the essential work order information in an easy-to-read format.

 

Exporting Data to Excel

Search results can be exported directly to Excel for further processing and analysis.

Data can be exported at two different levels of detail:

Header Level
One row per service event or work order. This is suitable, for example, for analysing service visits, customers, vehicles, and workshop volumes.

Line Level
Includes detailed labour, spare part, and other transaction lines from the work orders. This is suitable for more detailed analysis of spare part usage, work performed, faults, and repair operations.

Vehicle sales staff can quickly obtain a complete overview of a used vehicle’s maintenance and repair history and use this information when assessing the vehicle and during the sales process.

 

Turning Service History from an Archive into a Working Tool

The purpose of the service is not simply to display old work orders. Instead, it transforms years of accumulated dealership maintenance and repair data into information that is easy to search, easy to understand, and useful in everyday operations.
